Users
SETUP -> Users
This page allows users and security roles to be maintained.
Login
- must be unique.First name
Surname
Password
- this field is only visible when you create the user. Enter a temporary password, ask the user to change their password on first logon.Confirm password
- this field is only visible when you create the user. Retype the password entered above.Email
- used when the user hasforgotten their password

- used when the user hasforgotten their password
.Designation
- title in the company. Used for loadout documentation, ie DOC.Roles
- select role(s) for this user (these need to be setup in the Roles tab first).Allow external login?
- ticked by default. If unticked, will deny login from outside the local network, ie the internet from home.Active?
- untick if the user should not be using snapPacking anymore. This will stop them from logging in.
Signature: This field is only visible when you edit a user (must save first).
Select file
- select an image file (or drag and drop a file) of the user's signature. The recommended image size is 200x80 pixels. This will show on certain reports where a signature is required, eg QC reports.
Restrictions: For certain pages, you can restrict what the user sees.
Orchards
- this is for the grower portal, select orchard(s) you want this user to see. SeeGrower portal
below for more information.Packing line
if you want to restrict users to certain packing lines, enter these here, leave blank to see all packing lines.Traders
- this is used when you want to give traders access to your system, select trader(s) you want this user to see (leaving blank allows them to view all traders). SeeTrader portal
below for more information.
Note
For shared pcs, we suggest users do not get the computer to remember their password.
Roles
These are the roles in the Users tab. They determine screen permissions/rights.
Description
- role name.User rights
- tick for each right you want this role to have access to.
It is advisable to setup a test user to test permissions for each role so you can ensure you have set all permissions.
Tip
Tick/untick the Right
box in the header to tick/untick all rights that are showing (use the filter to restrict what is showing in the list).
Note
If you select an existing role, only rights that role has access to will display. If you want to add more rights, tick the Show all?
box.
Rights
Displays all system rights/permissions with the roles and users that have these rights. Administrators have all rights.
- Menu item rights - most screens have a view and edit right (named the same as their menu name).
- Reports and extracts - have their own rights (begin with "Report - " or "Extract - ").
Reports & Extracts
- this permission is required to see the screen in snapPacking, a permission still needs to be given for each report/extract.
- Records - record types (from the Administration menu) have their own view and edit rights (begin with "Records: ").
Records
- if the user is being given access to any of the Record screens, they will need this permission to see theADMINISTRATION -> Records
screen.Record subscription
- allows the user to subscribe toADMINISTRATION -> Records
.Records - Topics (edit)
- allows the user to create/editADMINISTRATION -> Records
topics.
- Scanners - permissions begin with "Scanner - ", usually based on a function of the scanner.
- Tools - the "Tools" permission gives access to this screen but the functionality in the
TOOLS
screen will be based on what further permissions the user has (these begin with "Tools - "). - Grower portal - see below
- For more complex screens, there may be additional rights, eg
Administration - Invoices (lock)
- gives the user ability to lock and unlock invoices inADMINISTRATION -> Invoices
.Carton - Delete (bin parts)
- allows a part bin to be deleted when filling bins.Declarations
- allows the user to see declarations in various screens, ie Bin submissions, Runs, QC lots, Orchard blocks, etc. To give users editing permissions, add these inQUALITY -> QC Lots -> Setup menu -> Declaration permissions

.Recreate pallet
- gives the user the ability to re-create a pallet from theStore item
screen or on the scanner.Residue test (dismiss)
- onSTORAGE -> Bin submissions
, an alert will appear if the orchard requires a Residue test. This permission allows the user to dismiss this error.Run charges
- displays a Charges tab on thePACKING -> Runs
screen.Runs - advanced carton labelling
- advanced permission allowing the user to alter the QCLot of the carton. Applicable for USA packhouse sampling. This permission should only be given to someone that understands the implications of this and willing to take the responsibility.Search

- allows the user to make a pallet "temporary" from theStore item

- allows the user to write off pallets/bins from theStore item

- allows the user to tip bins.Tipping - Tip whole submissions
- allows the user to tip bins in bulk (by submission).Tipping - Untip bins
- allows the user to un-tip bins.Truck driver view
- if usingSTORAGE -> Daily load plan
functionality, give this permission to the truck drivers.
Role permissions can be changed here by clicking on the Roles
cell. The ticks show which roles have this permission/right.
Additional permissions
Declaration permissions can be setup in QUALITY -> QC Lots -> Setup menu -> Declaration permissions

Grower portal
The URL for growers will be your URL with /grower appended, eg https://packing.snapapps.nz/grower. It is advisable to setup a Role for "Grower" and give them this role
. You can include the following rights for the grower portal.
- Grower portal - Dashboard - gives them a screen showing a bar graph of bins (unpacked/packed) by variety.
- Grower portal - Submissions - gives them a screen showing bin submissions.
- Grower portal - Submission plans - gives them a screen where they can enter their planned submissions. There is a Bin submissions (planned) extract the packhouse can run to view this information.
- Grower portal - Maturity Samples - gives them a screen showing maturity samples and reports.
- Grower portal - Submission Samples - gives them as screen showing submission samples.
- Grower portal - Runs - gives them a screen to see their runs and run reports.
- Grower portal - Reports/extracts - gives them a screen to view reports/extracts, individual report permissions still need to be given (NB reports need to be designed for the grower portal so don't add any more than the list below):
- Grower portal - Packed stock extract
- Grower portal - Orchard bins extract
- Grower portal - Packout analysis extract
- Grower portal - Packout summary extract
- Grower portal - Maturity samples extract
- Grower portal - Submission samples extract
- Grower portal - Records - gives them a screen to view record topics. You can then add record topic permissions.
The orchards they can see is driven by the Orchards
field on their user account.
Trader portal
The URL is the same URL you use. It is advisable to setup a Role for "Trader" so you can restrict what screens they use. The traders they can see is driven by the Traders
field on their user account but only some screens have these trader restrictions.
The following screens have trader limitations so can be safely added to their role, if you want to add any other screens, please test them or contact snapSoftware to check.
- Storage - Loadout orders - you can give them edit rights if you wish them to edit orders.
- Storage - Loadouts - if you want them to see/edit actual loadouts.
- Storage - Loadout planner
- Reports & Extracts
- Extract - packed stock for trader
Certain extracts can be automatically emailed to traders, see SETUP -> Tasks
Changing passwords
There are 3 options for changing passwords
- Users can change their own password - when logged on, press the key icon in the top left hand corner of the screen.
- User has forgotten their password - from the login screen, press the "Forgot your password?" link. This will ask the user for a login, email address or mobile number. Based on this criteria, the system will try and find the user that matches this information. If only 1 user is found, an email (if the user has an email address setup) or SMS message (if the user has a mobile number setup) will be sent to the user with a link to reset their password. If multiple or no users match the criteria, an email alert will be sent to the email address setup in the "PasswordResetEmail" setting in
SETUP -> System
. - Admin person changes the password for a user - this can be done on the Users screen by pressing the key icon for the user.
