    Bin submissions

    STORAGE -> Bin submissions

    A bin submission represents a truck load of unpacked fruit received from an orchard.

    If you have more than one packing site, select the relevant packing site from the top left hand side of the screen.

    General tab

    • Submission # - a unique reference (ie docket number) number from the paperwork arriving with the fruit.
    • Submission date - date the submission was received (defaults to today).
    • Harvest date - date the fruit was harvested (defaults to today).

    From

    • Orchard - orchard the fruit came from. Orchards can be added manually in SETUP -> Locations or, for apples and pears, they can be imported from industry master-data using the Setup drop-down menu (select Import RPIN).
    • Management area - also known as orchard block identifies the specific area the fruit was harvested from within the orchard. Management areas can be added, or imported from master-data, using SETUP -> Orchard blocks.
    • Variety - variety of the fruit SETUP -> Varieties. For apples and pears the variety must match the variety from the spray clearance (PCR) certificate.

    Other

    • Growing method - method used to grow the fruit (eg conventional, organic) SETUP -> Growing methods. This will default to match the selected management area and will seldom need to be changed.
    • Storage type - SETUP -> Storage types, eg, air-store, CA, Smartfresh.
    • Contract - identifies who is paying any charges and what you are allowed to do with this fruit (ie which traders it can be packed for).
    • Need high pressure wash? - tick if fruit requires a high pressure wash.

    Categories and observations

    • Colour band - used to record colour observations SETUP -> Colour bands.
    • Harvest pick - the type of pick SETUP -> Harvest picks, eg first pick, second pick, picked for juice.
    • Packing group - optionally used to segregate this fruit and prevent it from being mixed during packing SETUP -> Packing groups. This feature can be used for special trials.
    • Problem / risk - industry problem or risk code SETUP -> Problems and risks.
    • Submission profile - used to categorise the maturity of the fruit SETUP -> Submission profiles.
    • Tags - where you can easily add extra information for the submission (maintain tags from the Setup menu in Bin submissions, see below). You can enter multiple values.

    Transfer

    • Carrier - select the appropriate carrier from SETUP -> Vendors who have been ticked as a Carrier.
    • Carrier reference - carrier's reference.
    • Registration - truck registration number.
    • Driver - name of truck driver.
    • From coolstore - if this is a transfer, select the coolstore the fruit came from. List comes from SETUP -> Locations who have been ticked as a Coolstore.
    • Truck is registered?, Truck has certificate of fitness, Truck is pest free, Truck is clean, Driver is aware of security - compliance tick boxes, default to ticked (although your company can have these configured to default to unticked).

    Comment

    • Comment - any comments.
    Tags

    From the Setup menu on the Bin submission list screen, you can maintain Tags. This is an easy way to store extra information for submissions. A Tags column is available from the column chooser so you can filter submissions based on these.

    Bins tab

    This section records detail of the bins (or crates) received. Although bins are added in bulk, each bin is allocated a unique number for traceability. It is recommended that barcode labels are printed and attached to each bin. This enables bins to be scanned for activities such as locating, storage treatments, packing or loading out.

    Alternatively, if you use the Storage -> Bin labels screen to preprint labels, you can use a handheld scanner to scan the bins to the submission Scanner -> Submit orchard bins

    Tip

    Click Show details? above the bin list to see (or edit) individual bins (or individual pallets if you have entered them by crate).

    Add bins

    Record in batches (so press the Add bins button for each group of bins that are the same):

    • Bin - identifies the type of the bin received. The list of "bin" types is managed in SETUP -> Pack types where Bin? is ticked.
    • # bins - the number of bins received.
    • % full - how full these bins are.
    • Store row - (optional) allows you to allocate the bins to a particular store location. These are the Store rows in SETUP -> Locations

    Add crates

    This option is used when produce arrives in crates (on pallets) instead of larger bins. Record in batches (so press Add crates for each group of pallets that are the same), eg, if you have 2 pallets of 10 crates and 1 pallet of 5 crates, you will create a record for the 2 pallets then another record for the part pallet.

    • Crate - identifies the type of crate received. The list of "crate" types is managed in SETUP -> Pack types.
    • Pallet - identifies the type of pallet the crates were received on. This list is managed in SETUP -> Pallet types.
    • # crates on pallet - the number of crates on each pallet.
    • # pallets - the number of pallets received with the number of crates entered above.
    • Store row - (optional) allows you to allocate the bins to a particular store location. These are the Store rows in SETUP -> Locations

    Advanced properties

    These properties allow you to override the general submission details specifically for this group of bins/crates.

    Tip

    Labels can be printed for individual (or groups) of bins using the printer icons in the bin list.

    Declarations tab

    This tab shows the market requirements that have been met for the fruit so far. Some declarations will be inherited from the orchard (eg registrations) and other will be specific to this submission (eg spray clearances).

    Declarations can also be edited from this section (subject to security permissions). For more detail, see Market declarations overview.

    Note

    If you are packing NZ apples, if the PCR records are not showing here, you will not be able to pack the fruit.

    Reports

    The submission detail view offers a drop-down menu with the following options:

    • View storage sheet - sheet that can be physically applied to a bin in the submission to give basic details.
    • View receipt - this allows you to preview the submission receipt report as a PDF.
    • Print receipt - this allows you to print the submission receipt.
    • Print labels - this allows you to print all bin labels for the submission.

    Maturity sample

    From the Actions menu, select Add maturity sample to enter a maturity sample for this submission. This takes you to the QUALITY -> Maturity samples page, pre-populating some fields based on your submission.

    Quality sample

    From the Actions menu, select Add quality sample to enter a quality sample for this submission. This takes you to the QUALITY -> Submission samples page, pre-populating some fields based on your submission.

    There is an option to display a message on the bin submission screen if there is not a recent quality sample for this orchard's fruit. Configuration is required.

    Test packing plan

    This feature allows you to check this submission's suitability against a packing plan and details criteria that fails.
