Contracts

ADMINISTRATION -> Contracts

All items in inventory (pallets and bins) are associated with a Contract. Contracts are selected for every submission - both orchard bins and 3rd-party packed pallets. Contracts may also be selected when setting up packing plan products to control and raise further charges (eg for pre-sized packing).

Contracts also provide clues to the source and ownership of the inventory as they allow several vendors to be recorded:

• a main vendor (typically the grower)
• a supply group vendor
• a trader (in) vendor

Each of these vendors may be used for targeting charges and invoicing.

Adding a contract

• Description - identifies the contract in lookups.
• Vendor - the main vendor (typically the grower).
• Type - options include:
  • Packing (orchard pick) - can be selected in STORAGE -> Bin submissions
  • Packing (pre-sized) - can be selected for PACKING -> Plan products.
  • Storage only - can be selected for both STORAGE -> Bin submissions and STORAGE -> Packed submissions.
• Market type - indicates if product on this contract should be considered as export, local market or process.
• Supply group - supply group vendor, if applicable.
• Trader (in) - vendor associated with the trader.
• Active?- untick to hide in lookup lists.
• Comments - general comments.

This section allows you to filter the bins submissions appropriate to this contract. The most commonly used filter is orchards.

Traders

For packing contracts, this section lists the traders that bins on this contract may be packed for. This will typically include at least one export trader and one process trader but may include others. For each trader you can optionally select a charge schedule that will apply to the product packed for that trader.

Packing alerts

For packing contracts, you may wish to list contacts that should receive an alert email or SMS message when the first bin is tipped for each of their runs. Each alert can be filtered for specific orchards if required. This may apply if an orchard manager only looks after some of the orchards under this contract.
